The rates that we charge our clients are the result of special deals arranged between Episode-Travel with Art and our partners. Because of this, Episode-Travel with Art can only confirm and guarantee precise prices after clients have confirmed their intention to book. This confirmation of intention to book is made effective with a deposit of 20% of the price of the trip.
On receiving your deposit, confirmation of your booking along with all program details will be sent to you. A contract is then established when you receive our confirmation of your booking.
The balance of your tour payment is due 45 days prior to the departure date, as detailed on your invoice.
Failure to receive the outstanding amount by the due date is considered as cancellation.
If you wish to cancel your booking, or any part of it relating to any person (in the case of a group booking), we will require your authority in writing. Our cancellation charges will apply (see the table `cancellation charges` below). These are calculated with reference to the date on which we receive your authority in writing. We incur costs from the time you make your booking and you agree that if you cancel your booking you will compensate us for our losses and expenses, as per the table below. Episode-Travel with Art strongly recommends travellers to purchase trip cancellation/interruption insurance.

No refund for unused portions of the trip, cancellations made after the trip has begun or early departures for any reason.
If Episode is able to reduce any supplier fees at the time of cancellation, the reduction will be passed onto the client.
If guest cancels and the roommate remains, an additional supplement will be applied to the price for the remaining guest.
When any member of your party is prevented from travelling for any reason (including death, illness or jury service), we may transfer your booking to any other person satisfying all requirements relating to your holiday, whenever receiving notification from you detailing this transfer in writing up to 7 days prior to the respective date of departure.
If a problem arises during the party’s vacation, please inform us immediately. Complaining at the time of the problem will likely yield the best results.
Should the situation not be resolved you should inform us in writing as soon as possible after the tour and within 28 days. Complaints can only be considered if presented in writing to the agency up to a maximum of 28 days after the end of the service supplied. We will duly investigate the source of grievance and reply at the earliest opportunity. All proceedings and disputes are dealt with under Portuguese law and jurisdiction.
Although Episode Travel with Art will make every effort to adhere to the itinerary, on rare occasions it may be necessary to make an adjustment to these arrangements. Should such adjustment be necessary, a substitute will be offered when and where possible. If war or terrorist activities threatened or actual, civil unrest, closures of airports or seaports, industrial action threatened or any other event outside the control of Episode Travel with Art, which causes either delays or extends the holiday or compels a change in the holiday arrangements, Episode Travel with Art cannot accept liability for any resulting loss, damage or expense and any refund will be subject to deduction of reasonable expenses.
